Position Summary: The Volunteer Coordinator is responsible for coordinating GOFM program efforts to recruit and engage volunteers. GOFM engages hundreds of volunteers each year and the position requires an effective, focused, organized and detail-oriented professional who has excellent communication skills and an understanding of data management and analysis.

This position is instrumental in the implementation of successful community events that provide volunteers a safe, educational, and fun time participating in activities that help realize GOFM’s mission to build and sustain a local food community through a vibrant, producers-only marketplace, improved food access, and educational programming.

Qualifications:

Qualifications:

  • Proficient with Google Suite

  • Proficient with Excel/Data Entry, Building charts, and graphs

  • Familiar with Sign Up Genius

  • Highly collaborative with excellent communication skills

  • High level strategic thinking and planning 

  • Ability to convey the organization’s strategic future to volunteers

  • Previous experience volunteering with a nonprofit organization is a plus.

  • Ability to work with minimal supervision, to handle multiple tasks and manage demanding situations effectively, showing strong initiative and being anticipatory rather than reactive.

  • Preferred, but not required: experience with volunteer management

  • Preferred, but not required: Experience using Knowledge of Sign Up Genius signup genius.

  • Preferred, but not required: Bilingual in Spanish and English.

General Responsibilities:

Internal

  • Work closely with all program and department managers to regularly assess needs for volunteer expertise and level of volunteer staffing

  • Communicate one-on-one with prospective volunteers for specific positions determined by team leaders

  • Ensure all volunteer shifts are filled utilizing the multiple recruitment approaches & resources designated by program

    • E.g. call for volunteer email, personal reach out to frequent volunteers, phone call, etc.

    • Last resort, personally filling in

  • Responds to all volunteer inquiries, schedules the volunteers into an orientation/event, provides information and confirms each volunteer

  • Create resources that help/improve volunteer experience (ie update the Volunteer Handbook and the GOFM Market Bible)

  • Manage Volunteer Database

  • Identify and outreach to secure volunteers and donors through businesses, schools, social groups and other community groups, and follow up with community leaders and prospective volunteers.

  • Works with the ED & DOO to plan and execute special events (e.g. volunteer appreciation, recruitment, & training activities)

  • Create and manage volunteer sign up platforms for all GOFM programs

  • Be a volunteer within each area of GOFM programming at least 1x every 3 months

External

  • Onboard & present GOFM to community partners (e.g. UTMB Nursing Students, UTMB Nutrition)

  • Responds to all volunteer inquiries, schedules the volunteers into an orientation, provides staffing information and confirms each volunteer 

  • Personalizes standard emails and speaks with potential volunteers to explain the organization, volunteer positions and staffing hours/days, and to assess volunteer skills and interests

  • Communicate frequently with volunteers to ensure they are satisfied and well-placed

  • Disseminate information for upcoming actions and events

  • Keep detailed records of volunteers’ information and assignments

  • Εnsure the purpose of the organization and its actions is clearly communicated

  • Arrange for appropriate training when needed

  • Produce schedules for everyday activities

  • Schedule and coordinate volunteer training and informational sessions

  • Send timely thank you messages to all volunteers and prepare information packets for onsite volunteers.

  • Manage & sending messaging to volunteers in (1) anticipation of potential inclement weather that may affect the event(s) & (2) last-minute cancellations occur due to emergency, etc.

  • Assist with implementation and training of GOFM volunteer policies, procedures, and standards of volunteer service.
